Registration, capacity, and waitlist

Beyond tickets and dates, you decide who can register, how many people can join, and who can even see your event. These controls live in the event's settings.
You can also require attendees to answer a registration form before their ticket is issued; set that up from the event's Registration form area — see What forms are for.
Where these settings live
Open your event in the admin panel and go to Settings. The options below are split across two tabs:
- The Registration tab holds the registration window, capacity, and waitlist.
- The Advanced tab holds who can see the event.
Your participation type — ticket entry or RSVP — is chosen when you create the event and cannot be changed later. Some of the settings below apply only to RSVP events.
When registration opens
For an RSVP event, set a registration start date and time on the Registration tab. Before that moment people can see the event but cannot register yet. Leave it as is to let people register right away.
Ticketed events work differently: each ticket has its own sale window instead. See the Set up tickets article.
Capacity
For an RSVP event, set a registration limit to cap how many people can join. Leave it empty and registration is unlimited.
For ticketed events you cap numbers per ticket with inventory tracking instead, so you can limit each ticket type on its own.
Waitlist
Turn on the Waitlist to review people before they get in. How it behaves depends on whether you set a limit:
- With a limit: once the quota is full, new registrations go to the waitlist. Approve someone and a ticket is issued for them.
- Without a limit: every registration goes to the waitlist first, and only the people you approve end up attending. This turns your event into approve-to-join.
To work through the queue, open the Waitlist area in the event's admin panel, under the Registrations group. Each request can be approved — which issues their ticket — or rejected. You can filter by pending, approved, or rejected. Decisions are final, there is no undo, so review before you tap.
Collaborator communities can see the waitlist too, but only the community that owns the event can approve or reject.
One or several tickets per person
For a ticketed event, the Registration tab also asks whether one person can get more than one ticket. Choose No to limit each attendee to a single ticket, or Yes to let someone buy several and bring friends.
Event visibility
On the Advanced tab you decide who can find your event:
- Public: anyone can discover it.
- Private: only your community's members can see it.
- Unlisted: it does not appear in any listing; only people with the link can open it.
You can change this whenever you like — for example, keep an event unlisted while you finish setting it up, then switch it to public when you are ready.
